Important Year-End Pay and Benefits Reminders

As we near the end of 2023 and prepare for 2024, the following reminders and information may help you determine what actions you should take now or in the coming weeks.

Form W-2

By December 25, 2023  — Review your personal information, including your home mailing address, to ensure that you'll promptly receive your 2023 W-2 and other Wells Fargo communications in the mail. You can also verify and change your personal information through Teamworks at Home from teamworks.wellsfargo.com.

Early January 2024 — Access your W-2 form online. Your W-2 is generally available online during the second week of January. Watch for an announcement about its availability.

Important: You will receive a printed copy of your W-2 in the mail, postmarked by Jan. 31, 2024. You may also view your W-2 form online. If you’re working from home, you can visit Teamworks at Home on your personal computer and print from there. It is a violation of policy to email a W-2 from your Wells Fargo email account to a personal email account.

You can request a paper reprint beginning Tuesday, February 15, 2024, by calling Employee Care at 1-877-HRWELLS (1-877-479-3557), options 2, 1, 1. Support is available Monday through Friday, 7:00 a.m. to 7:00 p.m. Central Time. All relay service calls, including 711, are accepted.

Form W-4

January 2024  — Review your W-4 form to confirm your filing status, withholding allowances, and state taxation. To make changes to your W-4 elections for 2024, go to the HR Services & Support site starting January 2024. You can make updates to your W-4 at a later date, but the changes will not be retroactive.

Form 1095-C

Your 2023 Form 1095-C will be mailed (post marked) to you no later than January 31. Wells Fargo will issue Form 1095-C to employees who were full-time (as defined by the Affordable Care Act or ACA) for any month in 2023, as well as employees who were enrolled in Wells Fargo-sponsored medical coverage for 2023 even if they were not full-time or employed during the year. You don't need to wait to receive Form 1095-C to file your 2023 tax return. Consult with a tax advisor and keep the form in your records with your 2023 tax documents.

The Affordable Care Act (ACA) requires large employers like Wells Fargo to send an annual statement to certain employees called Form 1095-C, which will include information about the health insurance coverage available to them.

Wells Fargo will send Form 1095-C to employees who were full-time (as defined by the ACA) for any month in 2023, as well as employees who were enrolled in Wells Fargo-sponsored medical coverage for 2023, even if they were not full-time or employed during the year.

Your Form 1095-C will be available online through the Online tools link in late January 2024. You may choose to opt out of having a printed Form 1095-C sent to your home address by clicking on the form through the Online tools link. If you’re working from home, you can visit Teamworks at Home on your personal computer and print from there. If you don’t opt out by January 13, 2024, the 2023 form will be mailed to you no later than January 31, 2024. Consult with a tax advisor, and keep the form in your records to use when filing your 2023 federal income tax return.

Note: You don’t need to wait to receive Form 1095-C to file your 2023 tax return. If you have questions about the information on the 1095-C once the form is viewable in late January, call Employee Care at 1–877–HRWELLS (1–877–479–3557), options 2, 2, 1.

If you have a Full-Purpose Health Care Flexible Spending Account (FSA) in 2023 and are newly enrolled in a health savings account (HSA)-compatible medical plan for 2024

Zero Balance by December 31, 2023: Your current Full-Purpose Health Care FSA must have a zero balance by December 31, 2023, in order for your first 2024 HSA contribution to be deducted from your January 12, 2024 pay.

Important: If there’s a balance left in your 2023 FSA on December 31, 2023, as reflected in your HealthEquity account, neither you nor Wells Fargo can make contributions toward your HSA (including earned health and wellness dollars and any applicable employer HSA contributions, if you meet eligibility criteria) until April 2024. This means that from January 1 to March 31, neither you nor Wells Fargo will be able to contribute funds to your HSA to use for qualified medical expenses incurred by you, your spouse or domestic partner, or other eligible tax dependents.

Pay in 2024

Refer to the 2024 Pay Period Calendar for all pay dates in 2024. There will be 26 pay dates in 2024.

Your first pay voucher of 2024 will be dated January 12, 2024, and will include deductions for the following, as applicable:

  • Your first (of 26) deductions for your 2024 benefits, including:
    • Medical, dental, and vision coverage
    • Optional Critical Illness Insurance coverage
    • Optional Accident Insurance coverage
    • Accidental Death and Dismemberment coverage
    • Optional Long-Term Disability coverage
    • Legal Services coverage
    • Optional Term Life coverage
    • Spouse/Partner Optional Term Life coverage
    • Dependent Term Life coverage
  • Your first 2024 HSA payroll contribution, as elected during the 2024 Annual Benefits Enrollment period (provided that you have a zero balance in your 2023 Full-Purpose Health Care FSA as of December 31, 2023, if applicable).
  • Your first (of 26) 2024 Full-Purpose Health Care FSA, Limited Dental/Vision FSA, and/or Day Care FSA contributions.
  • Your December 24, 2023, 401(k) Plan before-tax and/or Roth contribution elections will be carried over to 2024, unless you make a change or stop your contribution elections by 11:59 p.m. Central Time on Friday, December 24, 2023. Changes submitted after December 24, 2023, will take effect on the next occurring payroll. In addition, repayment of your outstanding 401(k) Plan participant loans at the end of the year will continue to be repaid in 2024 in accordance with the loan terms.
  • You can increase, decrease, or stop your 401(k) Plan contributions at any time during the year by signing on to your 401(k) Plan account from Teamworks or my401kplan.wf.com. You can also access your account and speak to a retirement representative by calling 1-877-HRWELLS (1-877-479-3557), option 1, 1, 1. Retirement representatives are available from 7:00 a.m. to 9:30 p.m. Central Time, and Saturdays from 8:00 a.m. to 4:30 p.m. Central Time. All relay service calls, including 711, are accepted.

Note: Your final deductions for your 2023 benefits will be included on your final 2023 pay voucher, which will be dated December 24, 2023.

2024 health plan identification cards

For 2024, employees and dependents will receive new medical ID cards if they are enrolled in a medical plan administered by United Healthcare, Anthem Blue Cross and Blue Shield or Centivo. Employees and dependents who are newly enrolled in Kaiser will also receive new medical ID cards.

Note that you will not receive a new Express Scripts ID card if you were enrolled in 2023, even if your medical plan changed for 2024.

If you don’t receive your ID card(s) by January 7, 2024, call your medical or pharmacy claims administrator.

To receive the highest level of benefits, present your ID card each time you see your health care provider or get a prescription filled. If you don’t present your ID card at the time of your visit, you might have to pay out of pocket and submit a claim to the applicable claims administrator. Remember, your ID card itself does not guarantee eligibility for services or benefits. Claims must be submitted and processed per the terms of the plan in which you are enrolled; some services may require pre-service authorization.

If you don’t have an ID card and want a replacement, call the claims administrator or print a temporary ID card from the claims administrator’s website.

HealthEquity VISA Card for Copay Plan with HRA

If you’re newly enrolled in the Copay Plan with HRA or Local Copay Plan with HRA for 2024, you will receive a HealthEquity VISA Card that can be used to pay for eligible medical and pharmacy expenses, including copays, with available HRA dollars.

Flexible spending accounts (FSAs)

If you’re newly enrolled in the Full-Purpose Health Care FSA or the Limited Dental/Vision FSA for 2024, you’ll receive a new HealthEquity VISA Card (Card) in early January. Make sure to hold onto the Card because if you move from one FSA to another in future years, you will use the same Card. When your Card expires after three years, you’ll automatically receive a new Card.

  • If you participated in an FSA in 2023 and contribute to another FSA in 2024, you’ll continue to use your current HealthEquity VISA Card.

To order additional Cards for family members or to order a replacement Card, visit HealthEquity online or call HealthEquity member services at 1-877-924-3967. You can use the Pay Me Back or Pay My Provider feature on the website if you choose not to use your Card. Refer to the Benefits Book for more information.

Dental

The Dental Plan ID card is issued from Delta Dental with the subscriber's name. You use this ID card for yourself and all your covered dependents.

  • If you made no changes to your dental plan election for 2024, you'll continue to use your current ID card.
  • If you newly enrolled in Delta Dental Standard or Delta Dental Enhanced for 2024 (or if you switched from one to the other), you’ll receive an ID card from Delta Dental.

Vision

You will not receive a Vision ID card.  Your VSP ID is your employee ID number preceded by zeros to make an 11-digit number. The Vision Plan ID card is issued from Vision Service Plan (VSP) with your subscriber name. You can use this ID card for yourself and your covered dependents. If you would like, you can also print a member-specific ID card from the plan’s website.

Legal Services

The Legal Services Plan ID card is issued from ARAG. If you made no changes to your plan election for 2024, you’ll continue to use your current ID card. If you newly enrolled in the Legal Services Plan for 2024, you will receive an ID card from ARAG.

Timekeeping*

Important dates for nonexempt employees

December 22, 2023: For the week ending December 22, 2023, you must complete your timesheet in Workday by 8:00 p.m. Central Time on December 25, 2023.

January 1, 2024: For the week ending January 1, 2024, you must complete your timesheet in Workday by 8:00 p.m. Central Time on January 2, 2024.

Tip: You should complete your timesheets on the last workday of each week to allow time for your manager’s review before payroll information is exported at 8:00 p.m. Central Time each Monday.

All employees, excluding those in California, Colorado, Montana, and Nebraska

PTO carryover: You may carry over up to 40 hours based on your standard hours as recorded in the official HR system of record. PTO carryover hours must be used by the end of the business day on March 15, 2024. Any PTO carryover not used by that date will be deleted from your PTO carryover balance and will be unavailable for use. Holiday hours (including floating holidays and personal holidays) may not be carried over.

Time away Balance Details: From January 1 through March 15, the Balance Details window will show column headings for Allowed Carryover Prior Year and Unused Carryover as of March 15. Allowed Carryover Prior Year represents the number of PTO hours carried over from the prior year, and Unused Carryover as of March 15 represents the number of PTO carryover hours that have not been used year-to-date. On March 16, the Unused Carryover heading will change to Lost Carryover Hours and will represent the number of PTO carryover hours that are no longer available for use.

Employees in California, Colorado, Montana, and Nebraska

PTO carryover: If your work location is recorded in the official HR system of record as California, Colorado, Montana, or Nebraska, the PTO accrual cap applies. You are still encouraged to use PTO within the year it is accrued; however, you will not lose any accrued PTO. See the Carryover & Accrual Cap section of HR ServiceNow for more details.

Time away Balance Details: The Balance Details window will show column headings for Starting Balance of Carryover and Current Balance of Carryover. Starting Balance of Carryover represents the number of PTO hours carried over from the prior year, and Current Balance of Carryover represents the number of PTO carryover hours that have not been used year-to-date.

Employees in cities and states with paid sick time (PST) laws

If you’re in a city or state with a PST law, remember to record your PST for 2023 in Workday before the end of the year.
